Office employees usually are categorized under one of the following five positions:
Project Manager, Assistant Project Manager, Superintendent, Estimator, and Project Accountant

Project Manager
Responsibilities include but are not limited to:
Project Set Up: Develops pre-construction RFP packages, conducts project meetings, and sets milestones.

Contract Management:  Establishes job processes (RFI’s, submittals, and pay applications), performs project scheduling, and ensures project quality control.

Subcontract Management: Approves pay applications, manages the closeout process, and ensures fairness in subcontractor relations.

Financial/Risk Management: Negotiates subcontract change orders, develops and manages project budget, ensures that required documentation is filed.

Project Planning: Establishes overall project logistics to include coordination of project manpower with in-house operations/personnel manager.


Assistant Project Manager
Responsibilities include assistance with all of project management responsibilities, in particular:
Project Documentation: Prioritizes paperwork and submittal process, maintains material and delivery status, and archives contract records.

Field Communications:  Acts as go between and assist superintendent with quality control, formulating and carrying out the project plan, and communication with subcontractors.

Administration: Sets up the initial paperwork, maintain and distribute meeting minutes, and manage project files.


Superintendent
Provides supervision of all field construction work and personnel to include:
On Site Project Administration: Coordinates and directs work flow in conjunction with project schedule ensuring that methods and sequence of install is maintained. Also makes and follows through with schedule commitments, and takes care of quality control. Communicates project priorities to field staff and subcontractors, logs daily reports, and manages punch list and project closeout items.

Subcontractor Relations: Maintains good working relationships with all subcontractors on the project, develops relationships within the community which enhance business opportunities, and ensures subcontractors are treated fairly.

Financial/Risk Management: Provides accurate daily documentation of work orders/tickets, monitors subcontractor scope of work to avoid unnecessary change orders, and identifies long lead items that need to be expedited.

Project Safety:  Ensures that the JCC safety program is followed to include all subcontractors, that all safety incidents are reported and investigated, and assists in safety inspections by outside agencies.


Estimator
Preconstruction and cost consulting services:
Pre-construction services: Bid Administration: Responsible for plan replication and distribution to bidders, solicits and maintains communication with subcontractors and vendors, prepares and distributes bid packages, communicates bid developments to subcontracts to include addenda and other information, communicates effectively with clients and professionals in a team environment.

Project Knowledge:  Understands the scope of work for trades assigned to the project, develops RFI’s and clarifications, ensures adequate subcontractor coverage, and performs comprehensive “bid day” analysis and scoping of specific assigned trades, comprehends building design and interprets project specifications, performs a thorough evaluation of building systems and components.


Project Accountant
Client Set Up and Maintenance: Maintains fully executed owner contract/purchase orders; meets owner requirements such as billing deadlines, waivers, and certified payroll; monitors status of pending owner change orders.

Suppliers/Subcontractor Invoice Processing: Codes invoices, performs AP entry, obtains Project Manager approval for payment and processes payment.

Accounts Receivable: Ensures timely invoicing in proper format, monitors status of clients receivable, posts cash receipts.
